Tools: Scanner (Barcodes)

In this video we look at how you can use the GearLog app to integrate barcodes (and QR codes) into your equipment management.


Introduction

This video demonstrates how to use GearLog's scanner tool, covering three main topics: assigning barcodes, locating equipment, and using barcodes with the loan system.



Assigning a Barcode

The easiest way to assign a barcode to a piece of equipment is as follows:

  • Edit the specific piece of equipment.
  • Scroll down to the Identification section.
  • Tap "Scan" and scan the barcode to link it to the asset.


Locating Equipment

You can use a barcode to jump directly to a piece of equipment's record:

  • Access the scanner tool via Tools > Scanner.
  • Hover the device camera over the barcode to load the equipment.


Using the Barcode with Loans

The scanner tool integrates deeply with the loaning process through several methods:



Direct Scanning

Choosing the "Loan it" option within the scanner tool and then scanning a barcode will immediately jump to that item and prepare it for loaning.



Building a Loan Record

When creating a bulk loan (Tools > Gear Loans), you can add items efficiently:

  • Select "Scan gear onto this loan" from the action dropdown.
  • Scan the barcode.
  • Choose "Add the gear to the loan" or "Add the gear to the loan and then scan again" for rapid processing of multiple items.


Removing and Managing Items

  • Removing Items: Choose "Scan gear off the loan" and scan the barcode to remove it from an active loan record.
  • Jump to Loan: The action "Go straight to the loan record" allows you to scan an item and immediately view the full loan record it is currently assigned to.
