Tools: Custom Inspections

This video looks at the Custom Inspections (and Usage) tool which allows you to extend GearLog and create your own inspection checks/questions.


Introduction

This video demonstrates how to use GearLog's custom inspections tool to create more sophisticated inspections. Custom inspections guide users more thoroughly and allow the capture of more information when inspections are conducted. The example used is a vehicle walk-around before an activity, where a simple "good" or "monitor" record is insufficient.



Accessing and Applying the Tool

To access the tool, navigate to the tool menu and select custom inspections. These custom tools can be applied to:

  • Inspection records
  • Records representing the use of equipment


Steps to Create a Custom Inspection Framework

  1. Create a new framework: In this example, the framework is named "truck walk-around" and applied to inspection records.
  2. Link to equipment category: The framework is associated with the vehicles category so it is automatically offered whenever a vehicle is inspected.
  3. Develop a questionnaire: A questionnaire is created using different question types. Examples include:
    • Oil level check: Mandatory question with a pick list (low, medium, high).
    • Lights check: Mandatory "yes or no" question.
    • Tread depth: Mandatory number field using millimeters as the unit.
  4. Editing questions: Mistakes can be corrected using the pencil icon or trash can.
    Note: Once a framework has been used in a real inspection, it can no longer be edited to protect historical data. To make changes after that point, a new version of the questionnaire must be created.


The Custom Inspection Process

  • System Recognition: When inspecting an item in the linked category, the system pops up the custom framework instead of the standard "status and comments" box.
  • Data Entry: The user populates the specific questions (e.g., oil level, light status, tire depth).
  • Completion: The user provides an overall status (e.g., "good") and the inspection date to save the record.
  • Viewing Records: The final inspection record indicates that a "framework supplement" was used and displays all specific answers provided.
