Introduction
This video provides a summary of organization settings within Gear Log.
Organizations can be used to:
- Organize users, especially when there is a large number of users, to make them
easier to manage.
- Control user access to the equipment they can see.
Organization Settings
You can access organization settings by heading to the settings menu.
The organizations page includes a filter panel that lets you decide how to view your
organizations, such as seeing them "indented" or "nested". Using the "nested" view
is generally better when you have a large number of organizations in a complex
tree.
Before fully utilizing organizations, a setting on the user's profile must be edited.
You must set the option "Lock your organizations for your user accounts to a
list" to "yes" to use the organizations you've
structured in the settings. If this setting is "no," organization names on user
accounts are simply free text.
Using Organizations with User Accounts
After organizations are set up, you can use them on user accounts to state which
organization each user belongs to and to control access.
In the user accounts settings, you can edit a user and change their organization to
reflect their place in your organizational hierarchy.
When looking at all user accounts together, they are grouped and organized by the
organization they are part of.
Using Organizations with Equipment Records
Organizations can also be used with equipment records.
When editing a piece of equipment, you can scroll down to the identification section
and allocate it to an organization.
By default, this indicates that the organization owns the piece of equipment.
You can also set up the platform so that users are forced to only be able to see
equipment that is inside their organization. This is similar to how the sites tool
can be used to limit equipment access to users who work at a specific site.
Limiting Equipment Visibility based on Organization
On a user account, you can set the user's primary organization.
The "User organizations limit what gear they can see" option
controls access.
- If set to "yes," the user will only be able to see equipment in
the same organization as them.
- If set to "no," the organization setting for the user won't
limit the equipment they can see.
