Introduction
The video provides an overview of the GearLog's "lists" tool, which
is possibly the most important tool in the platform for organizing
equipment, controlling access, and performing rapid operations like inspecting and
loaning.
Accessing the Lists Tool
To access the lists tool, you go to the "tools" menu and select
"gear lists".
Filtering and Viewing Lists
The lists page allows you to filter the lists by:
- Specific list names
- Location of the list
- The people who created the list
Display Options:
- Nested: Lists are stacked inside each other (parent/child
hierarchy). This is generally better for a large number of lists.
- Indented: All lists are organized next to each other. This is
better when you only have a few lists.
Types of Lists
There are two primary purposes for lists in GearLog:
- Similar Equipment: Grouping large amounts of similar gear
(e.g., all climbing helmets) to make bulk inspections faster.
- Mixture of Categories: Grouping different
types of gear that function as a single system (e.g., a rescue bag or paramedic
kit).
Creating a List: Options and Settings
When creating a list, you can define various parameters:
- List Name, Color, and Picture: Used for visual identification.
- Seal: Marks a list as sealed (useful for medical kits) with a
specific tag identifier.
- Quick Deploy: Allows the list to be moved quickly to pre-set
locations.
- Sync Equipment Location: If set to "yes," moving the list
automatically updates the location of all gear inside it.
- Inspection Override: Allows the list to set its own inspection
schedule, overriding the individual gear's default intervals.
- Expected Number of Items: The platform will warn you if the
item count does not match this value.
- Temporary Lists: Automatically deletes the list after a
specified timeframe.
Bulk Operations on Lists
Anything you can do to a single piece of equipment, you can do to a list in bulk.
Operations include:
- Inspecting, Loaning, or Reserving the entire list.
- Generating a QR code for the container/bag.
- Recording usage for all items simultaneously.
- Downloading the list as a spreadsheet.
Adding and Managing Equipment
Equipment can be added via:
- The plus icon to browse inventory.
- The "scan or search" icon for rapid entry.
- The equipment page directly.
- Spreadsheet import using the List ID.
Once equipment is on a list, you can swap items (substitute one for
another) or remove them without deleting them from the main inventory.
Templates
Unlike normal lists, Templates identify the types and quantities
of equipment required rather than specific serial numbers. They are used to:
- Plan for regular activities.
- Generate actual lists by drawing available gear from inventory.
- Check for equipment shortages before an activity.
