Introduction
This video demonstrates how to manage a single piece of equipment using the icons
available on the asset entry. While most equipment management, like bulk loans or
inspections, is done in lists for efficiency, sometimes you need to perform an
action on an individual item.
Function of each Icon
- Curly Arrow (Clone Tool)
- Used to copy and paste equipment to create a new asset with the same
information, which is useful for items that are similar but need slight edits,
such as a different serial number.
- Trash Can (Delete)
- This icon will be disabled for most users, typically only enabled for
the administrator or for power users. It allows for the deletion of an asset.
Deleting equipment is not recommended because it is non-recoverable and will
remove the associated audit trail. The recommended end state for equipment is
"retired," which hides it from display.
- Pencil (Edit)
- Opens the edit screen to change any information on a piece of equipment after it
has been saved.
- Eye (Inspect/Test/Service)

Allows you to inspect, test, or service a single piece of equipment. This is
useful for catch-up inspections if an item was in use during a bulk inspection.
The platform will automatically set the next inspection date based on the
default category interval. Options are available to:
- Set the status of the item, such as "quarantine".
- Add photographs.
- Attach inspection documents.
- Specify who performed the inspection (it defaults to the user's name).
- Mark the inspection as significant.
- Mark the inspection as done by an external party.
- Automatically capture the equipment's physical location.
- Calendar (Usage)
- Used to record usage of the equipment, particularly for exceptional usage like a
high factor fall or exposure to difficult environments. Usage records are also
automatically generated when equipment is returned from loan.
- QR Code Icon
- Generates a QR code link from the platform that you can download and apply
to the equipment.
- Clipboard Icon (Loan/Return)
- The clipboard with an outgoing arrow icon loans out the equipment, and it
changes to an incoming arrow
icon to return the gear back into stock.
- Finger Pointing Up (Reserve)
- Allows a user to reserve the piece of equipment for a future date and time.
- Deploy Icon (Quick Move)
- Used to perform a quick move of the equipment to sites marked as quick
deployment sites.
