- Delete Account: Users with a free account can delete it, which
will remove all their data from the platform, an action that is non-recoverable.
- Export: Users can export various types of data from the
platform, in keeping with the philosophy that the data is always the user's.
- You can export all equipment.
- You can export only the equipment that matches the current filter on the
equipment page. This export can be used with the bulk update tool to
make adjustments, such as changing serial numbers, before re-importing
the data.
- All user accounts can be exported for backup or spreadsheet keeping.
- Information about all sites can be exported.
This, combined with the ability to export reports, allows users to get their
information out of the platform for analysis, additional backups, or when
leaving GearLog.
- Change Password: This is for the administrator account, which
is distinct from user accounts accessed on the settings menu.
- Subscription: For paid contracts, this is where users can set
up payment details (direct debit or credit card) to activate paid features.
Users can also opt to be billed via email. The subscription menu shows the
current status and the packages being paid for.
- Profile: This contains a number of settings that adjust how
GearLog works. The settings can be edited using the pencil icon:
- Account Number: Available and useful for including in
support tickets.
- Administrator Details: Details of your administrator
account are listed.
- Organization Details: Information such as name, type,
main activity, and country of operation.
- Formats and Units: Set your preferred date formats and
units of measurement.
- Custom Terminology: If you don't like the word "site,"
you can rename it to something like "location" or "place."
- Currency: The currency unit can be changed (e.g., to
dollars or euros).
- Branding: Adding a logo here will automatically include
it on your reports.
- Storage Defaults: You can state a default method for
identifying gear and a default place for storing equipment.
- Display Settings: Choose whether serial numbers,
identifying marks, and location are shown in the equipment summary.
- Color Configuration: Configure colors to show warnings,
or to indicate if inspections are approaching or overdue.
- Attribute Filters: Decide if equipment attributes, like
the size of a jacket, are shown in the summary.
- Movement Tracking: Enable tracking every time equipment
is moved to and from a list or site.
- Communication: Record a mobile phone number and manage
opt-out options for marketing or texts.
- Qualifications: Require users to provide a certificate
by default when creating a qualification.
- Email Alerts: Turn on alerts for inspections (due,
overdue, upcoming) and specify the advance notice period.
- Maintenance Alerts: Enable a rolled-up email at the end
of the day when equipment is quarantined or retired.
- Alert Routing: Alerts can be copied to another account,
distribution group, or specific departments (like HR).
- Reservation Settings: Enable alerts, set default
durations (e.g., 7 days), and manage blocks for users with overdue
items.
- Loan and Return: Enable email alerts for loans, set
default durations, and configure automatic equipment blocking for
cleaning after return.
- Usage History: Create a usage record every time
equipment is loaned or returned.
- Privacy: Hide personal information (name/email of
person performing actions) from non-privileged users.
- Security: Supports Google Authenticator for
second-factor authentication.
- Platform Simplification: Turn off all features related
to reservations and loaning if your organization does not use them.
- Inspection Logic: Force users to enter text to explain
why they failed a piece of equipment and enable default geolocation
capturing for records.
